This is a question we get more and more. It hass to do with processing credit cards, and the requirements that are in place to protect your customers information, and to protect you from liability.

Customer Credit Card Protection overview

The importance of customer credit card protection

If you store, process, or transmit credit card payments from your customers, you, as a merchant, are responsible for the security of that information.

Security standards are governed by the PCI DSS (Payment Card Industry Data Security Standard) to make sure that payment card data is protected and secure. If you fail to comply with these standards, it can lead to a security breach that could result in significant fines. See the Visa Cardholder Information Security Program for details.

Enable QuickBooks Customer Credit Card Protection

Credit card protection helps you limit access to sensitive information through password controls. When you enable this protection, you’re required to:

  • Create a complex password for you and all other users who view complete credit card numbers.
  • Change these complex passwords every 90 days.
  • Complete additional QuickBooks tasks for compliance. ( An active link in the help menu)

To enable QuickBooks credit card protection, go to the Company menu and click Customer Credit Card Protection. (If you don’t see this menu option, QuickBooks automatically stores credit card information for you and you don’t have to enable protection yourself.)

If you don’t enable this protection

You can choose not to enable customer credit card protection. However, QuickBooks users who store, process, or transmit customer credit card information in QuickBooks are required to protect that information by complying with the Payment Card Industry Data Security Standard (PCI DSS). Failure to comply with these standards can lead to a security breach that could result in significant fines to your business if your customers’ credit card information is ever stolen or compromised.
